(Senior) Project manager, Berlin

What you will be doing

MING Labs is looking for a new (Senior) Project Manager to join our lovely team in Berlin or Munich. 

As our new (Senior) Project Manager, you’ll manage projects across discovery, validation, and building of kick-ass digital products and services - creating the businesses of the future in our Berlin or Munich team. You’ll be the key link between our clients and our business design, UX design, and technology teams, working to ensure that everything runs smoothly while giving your experienced creative and operational input from day one.

You’ll be responsible for managing projects and client relationships: Creating estimates and proposals, monitoring the tasks and budgets, handling stakeholder communication, and representing MING in a credible and accountable manner externally and internally. You will build and manage a talented, diverse, inclusive team of designers and leaders that consistently delivers on projects and is well-balanced across a range of design skill-sets. You’ll also be involved in a number of internal projects, ranging from business development to marketing and internal operations.

You’ll report straight to the General Manager of our business, and you’ll be interacting with all parts of the organization in line with your responsibilities.  

We expect at least five years of professional experience in project management (ideally in a professional services / agency setting) and strong knowledge of digital product creation. We appreciate your ability to establish a collaborative and trusting relationship with our clients and partners, as well as your talent to manage projects of various degrees of complexity.

Now that we’ve got the basics covered, here’s a list of your main responsibilities:

Project Planning

You’ll be responsible to work with the operations team on planning and staffing projects, to ensure smooth delivery and optimal outcomes for our clients. With your strong understanding of the digital product creation process, you will be able to scope phases of work, manage capacity and capabilities accordingly:

  • Develop project management plans, collect detailed requirements and scope.
  • Prepare and facilitate kick-off meetings and project workshops, virtually or in person.
  • Define and sequence project phases, activities, and milestones.
  • Estimate and plan internal and external resources.
  • Budget each project activity and deliverable.
  • Plan and manage stakeholder and client communications. Identify and evaluate project risks, creating a risk management strategy for the team and stakeholders. 

Project Execution

As the central point of contact between MING and our clients, you’ll be handling their requests and inputs with the highest degree of professionalism. Also, you will be the go-between for the internal team and clients, so that you can coordinate responses and actions accordingly towards the internal team, with which you will need to coordinate responses and actions accordingly. We appreciate your ability to handle multiple projects concurrently.

  • Direct and manage project work and teams, making sure that high-quality standards are met. 
  • Manage communications and engagement of all stakeholders.
  • Ensure required monitoring and control of times and budgets, including project scope, integrated change control, quality of delivery, stakeholder engagement, documentation, and communications.
  • In addition to the client communication, you’ll run regular checkpoints with the project team, ensure that progress is on track, and manage blockers and barriers, keeping the team focused and productive. 

Project Closure

You'll collect feedback from stakeholders at certain intervals to facilitate learning and growth. Also, you'll maintain adequate project documentation and keep lines of communication open with external stakeholders to understand future business opportunities:

  • Collect retrospective and interim feedback from all stakeholders.
  • Facilitate project retrospectives and documentation to drive individual and organizational learning.
  • Manage communications with external stakeholders to discuss future business and service opportunities.

Business Development

You’ll partner with our management and client leads to discover new opportunities within existing accounts, scope them, and lead the creation of convincing proposals. You’ll further support the business development team on new client leads with scoping and proposal creation:

  • Utilize your professional network to generate new business opportunities.
  • Help our clients to define their requirements.
  • Prepare project costs and time estimates.
  • Create and deliver convincing proposals.
What we are looking for

5+ years of experience in Project Management (preferably in a professional services environment, such as agencies or consultancies) in the field of digital product creation.

Experience working collaboratively with product, engineering, design, content, and user research teams.

Certifications and capabilities including or corresponding to Agile and Scrum Master, high knowledge of project management, planning tools and processes.

Strong interest in and passion for digital businesses and products.

Ability to prioritize, delegate, and execute tasks in a dynamic environment.

Excellent (business fluent) communication and negotiation skills in German and English are a must.
